Events Assistant
Salary: £15,600 actual (pro rata based on £26,000 full time salary)
Hours: 0.6 FTE (3 days / 21 hours per week)
Contract: Fixed term, 18 months
About Us:-
Nantgarw China Works Trust is an independent charity responsible for maintaining and operating a 200-year old pottery site, famous for making Nantgarw porcelain in the early 1800s. Today it is a museum, visitor attraction and learning space delivering a programme of heritage craft workshops inspired by our past but very much looking to the future.
The Trust is currently made up of a Board of Trustees who are actively involved in the management of the charity, one full-time member of staff and three self-employed artist-tutors. In addition, we have around 40 registered volunteers as well as a number of external tutors and facilitators who use the site.
About the role:-
We are currently looking for an Events Assistant to support our programme of classes, workshops, group visits and open days. This is a new role and you will initially be working closely with the manager and liaising with a community of volunteers and freelancers to ensure our calendar of activities runs smoothly.
The role would suit someone who is well organised and a self-starter. You are likely to be someone who enjoys being part of a community and looks and listens carefully to find a suitable approach to tasks. This is a hands-on role and so it’s important that you are motivated to work on site as well as doing some work from home.
Job purpose:-
To support the planning, promotion and delivery of events and activities, ensuring a high‑quality experience for attendees and stakeholders.
Key responsibilities:-
Assist with planning and delivery of in‑person events including craft workshops, group visits, open days and learning sessions.
Work with other staff, freelancers, and volunteers to ensure that resources are in place such as room layouts, equipment, catering requests, and AV equipment.
Manage online event listings and ticketing through Ticket Tailor.
Update event information on the website using WordPress.
Schedule and send email campaigns and attendee updates using MailChimp.
Use Microsoft 365 (especially Outlook, SharePoint, Excel, and Word) to coordinate booking calendars and maintain accurate records and files.
Support the museum manager with some marketing and communications
Act as a first point of contact for event enquiries by email and phone
Assist with on‑the‑day event delivery at some events: setting up tables and chairs, registration, handling queries and liaising with other staff, freelancers and volunteers.
Help monitor attendance, collect and collate feedback (paper and digital records)
Be aware of GDPR requirements in relation to holding personal data
Provide occasional cover for museum front of house, as necessary
Essential skills & experience:-
Experience supporting events, administration or customer‑facing activities (paid, voluntary or placement).
Confident using Microsoft 365 or the ability to learn new digital tools quickly.
Experience using at least one of the following: a ticketing/CRM platform (e.g. Ticket Tailor), an email marketing system (e.g. MailChimp) or a content management system (e.g. WordPress).
Strong written and verbal communication skills, with good attention to detail and accurate spelling and grammar.
Strong organisational skills, able to manage multiple tasks, meet deadlines and follow processes.
A proactive, flexible approach and willingness to support occasional early morning, evening or weekend events (with time off in lieu as agreed).
Commitment to providing an inclusive, welcoming experience for freelancers, volunteers and visitors.
Desirable skills & experience:-
Experience of working in a cultural, educational or community setting.
Ability to work fluently in the Welsh language
An interest in at least one aspect of the Trust’s work (arts, crafts, heritage, museums, community)
Creative flair in writing, or taking photos or videos to support marketing

Holiday entitlement 17 days per year + bank holidays (pro rata based on 28 days for full time)
